Important Dates for Sororities and Fraternities

Below is a list of event dates and deadlines for chapter leaders, advisors, and prospective members to be aware of during the 2023-2024 academic year. Information will be added and/or updated throughout the year.

AUGUST 2023

Information about the Office of Sorority and Fraternity Life Awards and Assessment Program can be found on ourwebsite.

All chapter presidents and advisors should plan to attend the Fall 2023 virtual meeting where OSFL will provide an overview of the OSFL Recognition Policy, Social Events Policy and University Recognized Housing Policy. All organizations must send a representative to the policy meeting and should contact their Chapter Coach to schedule a re-registration meeting. Contact osfl@indiana.edu with questions.

Information regarding the Greek Fee is availableon our website, and will be shared with Chapter Presidents in meetings with Chapter Coaches.

Housed Greek Organizations must update their live-in rosters in Teams by August 18th. Instructions for how to do so will be provided to Chapter Presidents and Chapter Advisors for Housed Greek Organizations. If you have questions, please emailosfl@indiana.edu.

As outlined in theUniversity Recognized Housing Policy, Greek organizations whose members reside in “University Recognized Housing” must submit proof of their General Liability insurance policy, which must meet the terms identified in the University Recognized Housing Policy, to OSFL. Greek organizations may not register and host events until this documentation is submitted to OSFL. Documentation can be sent to osfl@indiana.edu.

The house corporation board president or their representative must submit the University Recognized Housing Policy Acknowledgement Form. This must be submitted before an organization can be a fully registered student organization. Greek organizations may not register and host events until this documentation is submitted to OSFL. All live-in advisors and house directors should plan to attend this training where we will provide an overview of OSFL policies, initiatives, student support and campus resources. Meeting details will be sent directly to live-in advisors and house directors. If you are a live-in advisor or House Director and are not receiving emails from OSFL, please reach out toosfl@indiana.edu.

Meeting with representatives from Greek Housed Organizations to review housing expectations, health and safety requirements, and campus resources specific for housed organizations. Meeting information will be sent directly to housed organizations. Contact osfl@indiana.edu with questions.

SEPTEMBER 2023

Any organizations interested in hosting a high-profile performer during the fall semester and/or an event with over 500 must submit an interest form by September 1st. This form will initiate the campus space reservation planning process. All contracts should not be signed until after the initial planning meeting.

Chapter Presidents must complete the re-registration process on BeINvolved and meet with their Chapter Coach and Chapter Advisor to review OSFL and SILC policies prior to September 1st. Organizations cannot register social events until they are a fully registered student organization. Information about OSFL policies can be viewedon our website.

All Greek Organizations that are participating in New Member Education and Intake for the Fall 2023 semester must complete the BeINvolvedsubmission.

Greek Organizations will be asked to upload a PDF of their education plan and a detailed timeline of the education. As stated in the OSFL Recognition Policy, new member education/intake processes are limited to six weeks. All new members must be initiated at the end of the process.

IFC Chapters must submit their bid lists to the ICS Recruiter website by September 10, 2023. If you have any questions or concerns, please email the IFC Vice President of Recruitment at ifciurecruitment@gmail.com.

Women interested in participating in PHA Primary Recruitment during the spring semester must register through ICS during this time frame. Information about how and where to register is locatedon the PHA website.

Neophyte Retreat for Spring 2023 Neophytes and new members will be held on September 16, 2023.

Registration will be available August 21, 2023.

OCTOBER 2023

Information regarding the Checklist Policy and Procedures can be viewedhere. If you are an authorized chapter accountant or representative, you can file a checklist requestherefor unpaid Fall 2023 semester balances.

All members of sororities and fraternities are required to participate in programming dependent upon their year in their organization. More information about required educational programming can be foundon our website.

The SFL Judicial Board is comprised of undergraduate sorority and fraternity students, representing the four governing councils. Individuals of the Judicial Board review low level conduct matters and sorority and fraternity organization misconduct that occur on or off Indiana University property.

As designated by the Office of Student Conduct, the board meets with sorority and fraternity organizations who have alleged policy violations through the university’s educational conduct process to determine responsibility for code violations and develop individualized action plans.

Chapter presidents, advisors, house directors, live-in advisors, and council officers should plan to attend the OSFL Homecoming meeting in preparation for IU Homecoming 2023. Meeting information will be sent via email to student leaders and advisors. If you are a student leader or chapter advisor and are not receiving emails, please reach out to osfl@indiana.eduto get on the email list.

Event notifications for all events that take place during Homecoming Week are due by 11:59 p.m. All chapter leaders should review the OSFL Social Events Policy and their respective Council policies prior to submitting event notifications.

All organization’s BeINvolved rosters must be updated by this date, including the removal of graduated or resigned members, and the addition of Fall new members.

The Office of Sorority and Fraternity Life is hosting Emerging Leaders: Letters Today, Leaders Tomorrow on October 28, 2023. This retreat is being designed and developed by the OSFL staffto empower, encourage, and give tangible leadership skills to members of the sorority and fraternity community to make positive change within their organization, council, and the IU community.

OSFL understands that there are situations where members are facing financial hardship or have specific situations and/or needs that should be considered. In these instances, students who have been charged the Greek Fee for the Fall semester may submit a fee waiver request. Information about the Greek Fee and the Fee Waiver Request processes are outlinedon our website.

Meeting information will be sent via email to student leaders and council officers in advance of the meeting. Submit new council and chapter officer information toosfl@indiana.eduto help ensure we have an updated list of representatives from organizations.

Every chapter is expected to complete the End of Semester Survey. This information will be used to compile community data to show the impact Sorority and Fraternity students have on our community during the Spring semester. Chapter Presidents have been provided with helpful templates to collect the data needed for this survey if not already regularly collected.

JANUARY 2024

Information regarding PHA Primary Recruitment dates and logistics can be found on the PHA website.

Housed Greek Organizations must update their live-in rosters in Teams by January 8th. Instructions for how to do so will be provided to Chapter Presidents and Chapter Advisors for Housed Greek Organizations. If you have questions, please email osfl@indiana.edu.

OSFL’sGreek Leadership Academywill take place on January 20, 2024. During GLA, chapter leaders from all four councils will engage in community building, leadership development, and goal setting. Information about this leadership experience and how to register will be sent via email to chapter leaders.

FEBRUARY 2024

Any organizations interested in hosting a high-profile performer during the spring semester and/or an event with over 500 must submit an interest form by February 1st. Newly elected chapter presidents and standards chairs will learn best practices and policies regarding chapter structure standards and accountability. The outgoing standards chair and chapter advisor will also be present to provide chapter context and current practices. This interactive training will help new chapter leadership build an outline for internal organization and structure.

Meeting information will be sent via email to student leaders and council officers in advance of the meeting. Submit new council and chapter officer information to osfl@indiana.eduto help ensure we have an updated list of representatives from organizations.
